Melvic Digitals (ABN 14 639 219 169) — "Melvics", "we", "us" or "our" — is a digital agency based in Melbourne, Victoria, Australia. We are committed to protecting your privacy and handling your personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

  • Contact details — your name, email address, phone number, business name and postal address, for example when you submit an enquiry form, email us, or engage our services.
  • Project and business information — details about your business, goals, budget range and requirements that you provide so we can quote and deliver services.
  • Communications — records of our correspondence with you, including emails, messages and notes of phone or video calls. Our business phone system is provided by Dialpad; where a call is recorded, you will be notified before or at the start of the recording.
  • Payment-related information — billing name, contact details and transaction records. Card payments are processed by our third-party payment providers, Stripe and Square; we do not store your full card numbers on our own systems.
  • Website usage data — technical information such as IP address, browser type, device information, pages visited and referring links, collected via cookies and analytics tools.
  • Client project materials — content, images, credentials and account access you provide to us so we can perform contracted work (for example, website hosting or advertising account access).

2. How we collect it

We collect personal information directly from you when you fill in a form on our website, contact us by phone or email, engage us for services, or interact with us on social media. We also collect some information automatically through cookies and similar technologies when you use our website, and we may receive information from third parties such as our payment processors confirming a transaction.

3. Why we collect and use your information

  • To respond to your enquiries and provide quotes;
  • To deliver, administer and improve our services, including website design and development, software and app development, branding and design, and digital marketing;
  • To process payments and manage invoicing and accounts;
  • To communicate with you about your projects, including by phone, email and video call;
  • To send you service updates and, where you have not opted out, marketing communications about our services (you can unsubscribe at any time);
  • To operate, secure and improve our website;
  • To comply with our legal obligations, including tax and record-keeping requirements.

4. Who we share your information with

We do not sell your personal information. We share it only as needed to run our business and deliver services, including with:

  • Payment processors — Stripe and Square (Squareup), who process card and online payments on our behalf. Their handling of your payment data is governed by their own privacy policies (available at stripe.com/privacy and squareup.com/legal/privacy).
  • Communication providers — Dialpad, which powers our business phone and messaging, and the email, video-conferencing and project-management tools we use to communicate with clients.
  • Hosting and infrastructure providers — the services that host our website, email and project files.
  • Analytics and advertising platforms — such as Google Analytics and advertising platforms, where used, in de-identified or aggregated form wherever practical.
  • Professional advisers — such as accountants, lawyers and insurers, where reasonably necessary.
  • Authorities — where required by law, court order or to protect our legal rights.

5. Overseas disclosure

Some of the service providers we use (including Dialpad, Stripe and Square) store or process data on servers located outside Australia, including in the United States. Where personal information is disclosed overseas, we take reasonable steps to ensure the recipient handles it in a manner consistent with the Australian Privacy Principles, including by relying on the contractual and security commitments those providers make.

6. Payments

When you pay us by card or online payment, your payment is handled by Stripe or Square as our payment processors. Your full card details are entered directly with, and stored by, those providers — not by Melvics. We retain only the transaction records we need for invoicing, accounting and tax purposes.

7. Cookies and analytics

Our website uses cookies and similar technologies to remember preferences, measure how the site is used and improve your experience. You can control or delete cookies through your browser settings; disabling them may affect some site functionality. Where we use analytics tools, the data is used to understand aggregate website usage, not to identify you personally.

8. How we store and protect your information

We take reasonable steps to protect personal information from misuse, interference, loss, and unauthorised access, modification or disclosure. These steps include access controls, reputable service providers, encryption in transit, and limiting access to those who need it. We retain personal information only for as long as it is needed for the purposes described in this policy or as required by law, after which it is deleted or de-identified.

Client credentials and account access provided for project work are stored securely, used only for the contracted work, and returned or deleted when no longer required.

9. Accessing and correcting your information

You may request access to the personal information we hold about you, or ask us to correct it, by contacting us using the details below. We will respond within a reasonable period. In limited circumstances permitted by law we may refuse access, and if we do, we will explain why.

10. Marketing preferences

If you receive marketing communications from us, you can opt out at any time by using the unsubscribe link in the message or contacting us directly. We will action opt-out requests promptly.

11. Complaints

If you believe we have breached the Australian Privacy Principles or mishandled your personal information, please contact us first using the details below — we take complaints seriously and will investigate and respond. If you are not satisfied with our response, you may lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at www.oaic.gov.au.
